Role Summary

As a Customer Service Virtual Assistant with FlexiAdmin Solutions, you will play a vital role in enhancing customer satisfaction and supporting client needs. In this role, you will address customer inquiries, assist with order tracking and resolution, and maintain client communications with the highest standards of professionalism. This role requires individuals who are skilled in handling high volumes of communication and adept at using customer support software.

You’ll work closely with clients to understand their brand and service standards, adapting to different protocols to deliver exceptional support. This position is ideal for someone who thrives on helping customers, solving problems, and maintaining order in a fast-paced virtual setting.

 


Key Responsibilities

  • Customer Inquiry Management
    Respond promptly to customer questions via email, chat, and social media platforms, ensuring timely and accurate information is provided.

  • Order Tracking and Status Updates
    Assist customers with order tracking, delivery updates, and any questions related to the fulfillment process.

  • Complaint Resolution and Issue Escalation
    Address customer complaints in a professional and empathetic manner, escalating issues as needed, to ensure prompt resolution.

  • Data Entry and Customer Records Maintenance
    Accurately record customer interactions, orders, and service feedback within CRM systems, keeping records organized and up to date.

  • Product and Service Knowledge Support
    Obtain and maintain in-depth knowledge of clients’ products, services, and policies to provide clear, helpful responses.

  • Feedback Collection and Reporting
    Gather customer feedback, noting common concerns or questions, and compile reports to provide insight to clients on service trends.

 


Key Qualifications

  • Experience:
    A minimum of 2 years in customer service or support roles, preferably in a remote setting. Familiarity with CRM systems such as Zendesk, Freshdesk, or Salesforce is preferred.

  • Technical Skills:
    Proficiency in customer service and communication tools like LiveChat, Intercom, and Help Scout. Additionally, experience with ticketing systems and task management tools like Asana and Trello is advantageous.

  • Communication Skills:
    Excellent verbal and written communication skills are essential for managing customer queries professionally and effectively. Experience with email platforms  and chat applications is required.

  • Problem Solving:
    Strong problem-solving skills to address customer issues efficiently. Experience with issue-tracking software is beneficial for managing complex queries and escalations.

  • Organization and Time Management:
    Ability to handle multiple tasks simultaneously, manage time effectively, and work in a fast-paced environment. Familiarity with scheduling tools is preferred.

  • Self-Motivation and Reliability:
    A proactive, dependable work ethic is essential for remote roles. Proficiency with project management tools for task tracking and follow-up is a plus.

  • Language Skills (Preferred):
    Bilingual fluency in English and a second language, especially French, Spanish, or German, is advantageous for supporting diverse clientele.
